PAYMENT

When the booking form is completed, you will receive confirmation within 48 hours via email, including an invoice for payment of the deposit. Once the deposit has been received, the registration is final.

The invoice for the remaining amount is sent separately and must be paid 3 months before the start of the trip.

We reserve the right to increase the price under the following conditions: should significant price changes occur between registration and the start of the camp; as a result of changes in the cost of fuel or other energy sources; should taxes, charges or fees for the camp's travel services be imposed by a third party not directly involved in the provision of our camp; and / or if there are notable changes in exchange rates that are relevant to services provided by the camp.

When registering with less than 3 months to the start of the camp, the gross amount is paid and your registration is only confirmed when the amount has been received by us.

Up to 5 months before the start date at camp: 50% of the deposit is refunded
From 5 months before the start date at camp: The deposit paid is lost and will not be refunded.
From 3 months to 2 months before the start date of the camp: 50% of the price is lost and 50% is refunded.
From 2 months before the start date of the camp: 100% of the price is lost (Change of name is possible)

Name change: This requires you to nominate another person to take over your place at the camp. In that case, you must settle between yourselves, and you notify us in writing of the change of name. (Bike Camp Spain must approve the change before it can be implemented)

It is your responsibility that you are insured as Bike Camp Spain’s insurance does not cover attendees’ equipment, luggage or in case of personal injury.
Over the course of the camp, it is your own insurance that must cover any damage or theft of property and bicycle, etc. Please have your own insurance sorted before arriving at the camp.
Once at camp, you will be asked to sign a disclaimer stating that you are aware of the dangers of cycling on public roads. As stated above, Bike Camp Spain disavows all responsibility for accidents, theft of damage to material and personal injury.

TRAVEL INSURANCE

We recommend that you take out your own travel insurance.
As a European citizen, you have the European health insurance certificate. Be aware that it only covers hospitalization and treatment equivalent to those afforded to local citizens in the given country where the camp is held. Private hospital care, return transport home, etc. are not covered without private travel insurance. Several credit cards include and / or provide travel insurance, so we advise you to check if you are already covered through your credit card before buying travel insurance.

SINGLE ROOM / DOUBLE ROOM

If you wish to share a room with another participant, we are glad to help arrange for a roommate, should there be another participant who wants to share a room.
We cannot guarantee that this will be possible. Three months before the start of camp, when the balance owing is collected, you will be invoiced at that time for a single room should there be no other available participant with whom to share double occupancy.
If, however, a participant agrees after that date to share a room, we will refund the single room supplement.

LACK OF EQUIPMENT / BAD SHAPE

If the guide team assesses that a participant's physical or technical ability, or equipment is so deficient or too far from what is required for safe participation in the camp, or should the attendee’s lack of preparation bring about significant time delays for the team in general, the guide reserves the right to interrupt the attendee’s continued participation in the tour, including requiring the participant to be transported to the next destination city.
The associated costs are borne by the participant himself.
If necessary, the guide will justify his decision verbally in the situation and, if desired, it can be given in writing after the tour.
We do everything possible along the way to help and assist, e.g. with the support car, if there is an accompanying car on the trip in question.

DURING THE CAMP / TRIP

You yourself bear additional costs including should they occur during the camp in case of crash, illness, early return home, defect, theft, extreme weather, delay, etc.
This also includes delays and consequential costs this may cause, which arise when traveling by bus or similar shared transport back to the starting city or to the airport.
Please be aware that when transiting between accommodation, if belongings are forgotten at a hotel, that Bike Camp Spain's helpers/staff do not have the capacity to drive back to collect it.
